Privacy Statement

Flintridge Sacred Heart Academy (FSHA) is committed to protecting your privacy and developing technology that gives you the most powerful and safe online experience possible. This Privacy Policy governs the data collected through the FSHA website, through the admissions process and other means such as donations and events, as well as the usage of the data collected.

Collection of Personal Information

FSHA collects personally identifiable information, such as e-mail addresses, names and mailing addresses. Personal or contact information is requested when users register for an event, complete an online survey, make a donation or purchase, or access a password-protected area of the site. Contact information for prospective families, students, parents and alumnae (constituents) are kept on file, gathered at the time of inquiry, application and/or registration to attend FSHA. After registration, profiles of students and parents on the school’s information system (TologNet) are created. Access by others to these password-protected profiles is limited according to roles assigned by FSHA. Constituents are given log-in credentials that allow them to view and change their own profiles as needed. Changes may also be requested by contacting helpdesk@fsha.org.

We do not collect personally identifying information of non-constituents, unless the user chooses to provide such information to FSHA. Providing such information is strictly voluntary.

FSHA’s website provider collects information about users’ computer hardware and software, similar to any other website provider. FSHA uses this anonymous information for the operation of website services, to maintain quality of those services, and to obtain general statistics regarding use of the FSHA website. This information can include: IP address, browser type, domain names, access times and referring web site addresses.

Use of Personal Information

FSHA collects and uses personal information to operate the FSHA website and to deliver the services requested. FSHA will use personally identifiable information to inform constituents of services available from FSHA, and to provide vital communications to its constituents. Changes to personal information can be made by either logging in to the user’s online FSHA profile and making changes, or by contacting helpdesk@fsha.org.

FSHA does not sell, rent or lease constituent information to third parties.

FSHA will disclose personal information, without notice, if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on FSHA or the site; (b) protect and defend the rights or property of FSHA; and, (c) act under exigent circumstances to protect the personal safety of users of the FSHA site, or the public. Additionally, personal information is shared with trusted vendors who assist FSHA in operating the website, conducting school business, or providing services to constituents such as mailing houses who send out FSHA Christmas cards and Naviance, a student college/academic advising program. Such vendors will be vetted for their own privacy policies before FSHA conducts business with them. Such third-party vendors are responsible for compliance with their own policies.

Financial Transactions

FSHA endeavors to comply with Payment Card Industry Data Security Standard (PCI DSS) standards and all other rules and regulations of various credit card organizations and networks relating to the security and safeguarding of cardholder information. Credit card holder data is encrypted and transmitted via Secure Socket Layer (SSL) technology to FSHA’s payment gateway provider, a third party service provider that is PCI DSS compliant. However, no server, computer or communications network or system, or data transmission over the internet can be guaranteed to be 100% secure. Financial transactions conducted through the FSHA website are done at the user’s own risk.

Constituents may submit credit card holder data to FSHA via means other than the website. Unencrypted credit card holder information is sometimes received for financial transactions over the phone and through paper donation forms and event registration forms. Constituents are advised to not send such sensitive information to FSHA via e-mail. It is the school’s policy to process such financial transactions through a PCI DSS compliant third-party service provider and then destroy unencrypted credit card information within 48 hours after receipt through the use of cross-cut shredders. Before processing, unencrypted credit card information is locked in a secure location with access limited to select employees. Any such data stored on-site shall be identified as confidential.

Submitted Content

Confidential information that is uploaded to the website, including grades, homework assignments, and private notes or communications between students and faculty or students and advisers are accessible only to specific faculty and staff and the constituents who are directly involved. Such confidential information is always password-protected and access is limited by role.

By posting any other information, such as class notes, photos or videos on the FSHA website, you, the user, automatically grant FSHA a perpetual, irrevocable, non-exclusive, royalty-free license to use, copy and publish these messages or images on this website. Such postings or images will be treated as non-confidential.

Faculty, Student, Parent and Alumnae Directories

Online directory information is password-protected and accessible according to the user’s role in the FSHA community. Information accessible through the FSHA online directories may be used only for official high school and Alumnae Association purposes and also for individual communication of a personal nature between registered users. Users are strictly prohibited from using any digital or printed information from FSHA for commercial, public or political purposes of any nature whatsoever, or for any illegal activities. FSHA reserves the right to prohibit a user from further website access if it determines the user has violated terms as described in this policy.

Use of Cookies

The FSHA web site may use "cookies" to help personalize a user’s online experience. A cookie is a text file that is placed on a hard disk by a web server. Cookies cannot be used to run programs or deliver viruses to a computer. Cookies are uniquely assigned to a computer, and can only be read by a web server in the domain that issued the cookie.
One of the primary purposes of cookies is to provide a convenience feature to save time. The purpose of a cookie is to tell the web server that a user has returned to a specific page. For example, if someone personalized FSHA pages, or registered with the FSHA site or services, a cookie helps the site to recall specific information on subsequent visits. This simplifies the process of recording preferences, etc.

Computer users have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but browsers can be modified and set to decline cookies. If cookies are declined, users may not be able to fully experience the interactive features of FSHA’s online services.

Changes to this Policy

FSHA will occasionally update this Privacy Policy to reflect school and community feedback or changes in laws or best practices. FSHA encourages you to periodically review this Policy to be informed of how FSHA is protecting your information.
